Job Description

The Recruiting Assistant will assist with day to day operations and provide support to the Corporate Recruiter. The person in this position will also assist with the onboarding process and documentation of new hires.


Essential Duties and Responsibilities:

  • Assist with day to day operations for Corporate Recruiter and Human Resources department
  • Provide quality internal and external customer service with the highest degree of courtesy, confidentiality, and professionalism
  • Manage email inboxes, answer messages from external job boards, compose email campaigns and review the candidate flow to the main careers page
  • Oversee all clerical and administrative support pertaining to Recruitment including:
  • Post job ads on professional sites, job sites and social media
  • Participate in candidate sourcing efforts
  • Assist teams in screening resumes
  • Schedule high volume of calls and interviews
  • Manage calendars for all hiring teams and candidates
  • Communicate with candidates promptly and assist them with any interview issues
  • Use recruiting software to keep track of open roles
  • Send out all bulk email (e.g. confirming receipt of applications, rejection emails) and handle signed documents (e.g. offer letters)
  • Assist with the completion of new hire documentation
  • Generate and distribute periodic HR reports in HRIS and Applicant Tracking Systems
  • Maintain and manage employee files by ensuring all documents are filed correctly
  • Manage digital documents and storage
  • Other duties may be assigned.

Job Requirements:

  • Strong written and verbal communication skills, organization skills, and ability to maintain a high level of professionalism
  • Excellent interpersonal skills – in person and on telephone
  • Strong organizational/time management skills – detail oriented
  • Demonstrates good judgment skills and decision making abilities
  • MS Office proficiency: Word, Excel, Power Point and Outlook

Work Environment/Physical Demands:

  • General remote office working conditions; expectation is a professional at home working environment
  • Must be able to remain in a stationary position 75% of the time while performing tasks.
  • Must be able to lift approximately 35 lbs.
  • Regularly operates a computer and other technology as needed
  • Regularly provides information to and receives information from/through various technologies, media, sources, and contacts. Must be able to exchange accurate information in these situations.
